We are a small team and Zapier handles most of the boring glue work that would otherwise need a developer. New trial signups, demo form fills and churn signals all flow into the right place automatically.
What works for us:
– Form submission to CRM contact plus a Slack message to sales. Took ten minutes to set up and replaced a daily manual export.
– Use Filter steps so only qualified leads (company email, team size above a threshold) trigger the expensive steps.
– Formatter steps are underrated. Clean up names, split full names, standardise country codes before data lands in the CRM.
– Turn on error notifications. A zap silently failing for a week is worse than no zap.
Downside: it gets pricey fast once you have multi-step zaps running on volume, because every step counts as a task. For heavy workflows we eventually moved a couple to a script.
